Managing grants doesn’t have to mean juggling spreadsheets and manually tracking expenses. QuickBooks offers powerful tools that can help nonprofits organize grant income, track restricted funds, monitor spending, and produce clear reports for funders—all within one system.
This session will explore how nonprofits can use QuickBooks more effectively to manage grants from start to finish. Participants will learn how to set up their chart of accounts, use classes or tags to track grant-related activity, monitor budgets, and generate reports that support accurate grant reporting and strong financial oversight.
Whether you are new to QuickBooks or looking to get more out of the system you already use, this session will demonstrate practical approaches to streamline grant management, reduce manual tracking, and strengthen financial accountability.
Participants will learn how to:
- Structure QuickBooks to track grant income and expenses clearly
- Use classes, tags, or other tools to monitor restricted funding
- Align financial tracking with grant budgets and reporting requirements
- Generate useful reports for grant reporting and organizational oversight
About Melanie:
Melanie Rutan is the Director of Business Development at Bookminders, where she leads referral relationships and strategic growth initiatives across the Pittsburgh region. She joined Bookminders in 2001 after 12 years as an Examiner-In-Charge with the Federal Deposit Insurance Corporation (FDIC), bringing deep regulatory, accounting, and auditing expertise to the firm.
Over the years, Melanie managed complex nonprofit engagements and contributed to internal training and development before transitioning into business development. Her strong network within the accounting and nonprofit communities has helped expand Bookminders’ partnerships and regional presence.
A seasoned speaker and presenter on financial literacy topics, Melanie has also served in leadership roles on several boards. She currently serves on the boards of North Hills Community Outreach and the South Side Chamber of Commerce.
